Summary

The Council of Canadian Academies (CCA) is looking for a project coordinator to join our team of diverse professionals committed to supporting evidence-informed policy and decision-making in Canada.

The CCA convenes multidisciplinary expert panels to assess the evidence on complex policy related topics affecting Canada. The resulting reports, authored by CCA’s expert panels, are recognized for their high quality and used to inform public discussions and policy-related decision-making.

Reporting directly to Portfolio Director(s) as a key member of project teams, the Project Coordinator supports: the planning and coordination of expert panel meetings; the development of project plans, timelines, budgets; the establishment of expert panels; the compilation of project material; and the coordination of report development, review, and final production.

Project Coordinators are essential members of the project team. They are detail-oriented professionals who provide critical support and help ensure projects stay on track and meet high standards.

Key Responsibilities

Project Support and Coordination

  • Support the execution of project work and maintain records in alignment with established policies and procedures.
  • Lead the preparation of required documentation for project meetings.
  • Assist Portfolio Director(s) with recruitment of experts and with managing project timelines, budgets, and goals.

Report Development and Distribution

  • Support the development of draft and final reports, including fact-checking, identifying and formatting references, and securing author and figure permissions.
  • Actively participate in the report proofreading process.
  • Lead the report distribution process, including developing and maintaining accurate recipient contact lists.
  • Support report release, including dissemination efforts and coordination of targeted briefings.

Meeting Planning:

  • Oversee all logistical aspects of project meetings and briefings including contract negotiation, venue and AV booking, travel and accommodation arrangements, and catering and group dinners planning.
  • Provide strategic guidance to the Portfolio Director(s) on the selection of appropriate meeting and briefing locations, including detailed cost breakdowns and comparative analyses as needed.

Experience and Knowledge

  • Proven experience in meeting planning, including logistics coordination;
    • Familiarity with academic research;
    • Skilled in managing information from diverse sources, including administrative records and web-based content;
    • Experienced in office procedures, including business correspondence and records management;
    • Proficiency in MS Office applications (365, SharePoint, Dynamics, Word, Excel, PowerPoint, Excel) and related software tools; and
    • Familiarity with one or more areas of science (broadly defined) and awareness of the Canadian science policy landscape is considered an asset.

  • Proven ability to provide effective support in project management and report production;
  • Strong time management skills demonstrated through consistently meeting deadlines and balancing multiple priorities;
  • Exceptional organization skills and attention to detail;
  • Strong capacity to work across multiple teams;
  • Excellent interpersonal skills, with the ability to engage professionally with senior-level stakeholders and high-level academics and professionals;
  • Strong oral and written communication skills; and
  • Capable of working independently with minimal supervision.

Requirements

  • A minimum of an undergraduate university degree.
  • Bilingualism (English / French) is considered an asset. Familiarity with working in a bilingual organization is essential.
  • Typically includes at minimum 2-4 overnight trips a year within Canada, depending on project needs.

This is a full-time in-office position; however, CCA staff are currently permitted to work remotely up to 3 days/week.

The hiring salary range for this position is $52,928 to $60,764.

Applicants must be legally eligible to work in Canada.
